# Appointment File Attachments: What to Keep and Check

FindSlot Team · Published Oct 19, 2026 · Updated Oct 7, 2026

Appointment file attachments are useful when a provider needs reference material connected with a visit. A style image, a simple service brief or a document explaining the requested work can make preparation clearer when staff know which appointment it belongs to and why it matters.

Keep the collection focused. An attachment should support a specific service conversation, rather than become a storage place for every file a client has ever sent. Before relying on it, check the file, the booking and the client's current intention together.

## Decide what the file is meant to do

A reference file may help explain a desired finish, illustrate a practical requirement or prepare a question for the client. Name that purpose before saving it.

For example, a haircut reference image can show the shape the client wants to discuss. It does not guarantee that the same result is possible, and it does not replace the conversation about length, service scope and time.

For a creative service, a short brief might explain the expected deliverable. If the brief changes the work, discuss the change and check the appointment arrangement. A file received after booking should not silently redefine the service.

The [booking page](https://findslot.ai/features/booking-page) establishes the selected service. Attachments supply relevant context for that selection.

## Choose useful material and leave out the rest

Consider whether another team member could explain why a file belongs to this appointment. If the purpose is unclear, ask before keeping it.

**Style reference image**

- **Useful operational purpose:** Discuss shape, finish or a visual preference
- **What to check:** Client's stated focus and whether the image is current

**Short service brief**

- **Useful operational purpose:** Clarify the work expected at the visit
- **What to check:** Agreement with the selected service and duration

**Simple layout or reference sketch**

- **Useful operational purpose:** Prepare practical questions
- **What to check:** Version, readable detail and relevance to the visit

**Screenshot of an unrelated conversation**

- **Useful operational purpose:** Often unclear
- **What to check:** Whether a short factual summary would be more useful

**Identity, payment or clinical records**

- **Useful operational purpose:** Unsuitable for a general reference-material workflow
- **What to check:** Use the appropriate separate business process

These examples describe material choices. They do not specify accepted formats, upload limits or file-processing behavior in FindSlot.

## Connect the material with the correct appointment

Before a provider uses a reference, confirm the client, service and date. A familiar name is insufficient when a client has several upcoming bookings or multiple people share a similar name.

Use [client profiles and upcoming appointments](https://findslot.ai/client-management-service-businesses) to establish the booking context. Check whether the file relates to this visit, an earlier discussion or an idea for the future.

If the material is stored elsewhere in the business's workflow, make the relationship clear in the handover. Do not leave staff guessing which message thread or folder is current.

A simple internal reference register could contain:

> Client or booking reference:
> Service and visit date:
> File description:
> Purpose:
> Received or checked on:
> Current version confirmed by:
> Question still to resolve:

Use this checklist in your team's working process so the person opening a file has enough context to use it.

## Use descriptive names without unnecessary personal detail

When your workflow lets you name or label reference material, make the description understandable. "Short-style-reference-for-discussion" conveys more than "IMG-final-new."

Avoid putting sensitive personal information into filenames. A file does not need a full address or unrelated personal history to be recognizable. Use the appointment context and your business's normal reference method to distinguish it.

Keep a version indicator when there is a real revision. "Reference-2-client-confirmed" may be useful if the client has sent a replacement. A long chain of "final-final-latest" makes it harder to know what the provider should open.

## Resolve conflicting references before the visit

Imagine a client sends two style images a week apart. The first suggests a short finish; the second shows longer layers. This is an illustrative scenario, not a customer result.

The provider should not assume the newest image cancels every earlier preference. Ask what the client likes about each image and which reference represents their current aim. Record the useful answer: "Use the second image for overall shape; client wishes to keep more length."

If the conversation reveals a different service requirement, check availability and agree the booking change separately. [Staff scheduling](https://findslot.ai/features/staff-scheduling) remains relevant even when the reference material is clear.

The point of version checking is to prevent a silent assumption. One short clarification can be more useful than keeping five unexplained files.

## Check usability before relying on a file

Use the tools available in your workflow to confirm that the reference is readable and relevant. An image that looks clear on the client's phone may leave important detail unclear when the provider opens it.

Check that:

1. The intended file can be opened through the business's normal process.
2. The important part is legible without guessing.
3. The file belongs to the right booking or preparation discussion.
4. Staff know which version to use.
5. Any resulting change in service scope has been discussed.
6. Only the relevant team members need to use the material.
7. There is a practical fallback if the reference cannot be opened.

A fallback can be a short client conversation or an agreed description of the key detail. Do not promise that a file has been reviewed when nobody has checked it.

## Make attachment review part of the handover

Tell the provider what to look for and what remains undecided. "See attached" is weak preparation when the appointment depends on a specific question.

Better handover copy is: "Reference is for the fringe shape only. Confirm desired length before starting. Service and appointment time remain as booked." This keeps the reference in its proper role.

After the visit, follow your business's process for deciding which reference material remains useful. An old image should not automatically become the instruction for every future booking. Reconfirm the client's goal at the next relevant appointment.

## Common questions about attachment workflows

### Should we ask every client for a file?

Only when a reference genuinely improves preparation. Routine visits may need no attachment at all.

### Can a reference replace a consultation?

A file can support a consultation, but it cannot resolve all questions about scope. Use the [salon color consultation checklist](https://findslot.ai/salon-color-consultation-checklist) for a structured example of discussing a more involved service.

### What does FindSlot include?

FindSlot's [pricing page](https://findslot.ai/pricing) lists file attachments on Plus and higher plans. Check the available controls and current limits in your account when choosing how to use them.
