# Appointment Reports and Booking Analytics: FindSlot Preview

Appointment reports turn booking records into questions a service business can act on: how many appointments were scheduled, how many were missed, and which services account for the recorded booked value? Useful booking analytics begins with clear metric definitions and accurate appointment statuses.

A booking is not automatically a visit, and booked value is not money collected. Those distinctions matter whether you are reviewing a salon, a tutoring business or another appointment-based service.

## What should an appointment report help you understand?

Start with the decision you need to make. Booking totals help you understand scheduled demand. Appointment status counts show which records remained pending, were accepted, completed, canceled or missed. Service breakdowns help you investigate changes in the types of appointments on the calendar.

The planned FindSlot Reports page brings together summary metrics, a trend chart, appointment status mix and a services view. Charts include a table view for checking the figures directly.

Under the planned permissions, owners and managers who can view all appointments would also have a staff table and an individual staff view. Employees restricted to their own appointments would receive a **My performance** view containing their own figures.

## Appointment reporting metrics: what each number means

The planned report uses these definitions:

- **Bookings:** Appointment records with scheduled dates inside the selected period, across their statuses.
- **Visits:** Accepted and completed appointments on days up to the current business-local date.
- **Booked value:** Recorded appointment prices for accepted and completed bookings in the period.
- **No-show rate:** Missed appointments divided by visits plus missed appointments.
- **Cancellation rate:** Canceled appointments divided by all bookings in the period.
- **New clients:** Clients whose first qualifying visit falls in the selected period, shown in the company-wide report.

Bookings follow the **scheduled appointment date**, not the date a client submitted the booking. An appointment booked on Monday for next month belongs to next month's scheduled-appointment reporting period.

Visits depend on the recorded status and reporting date. They are not independent evidence of attendance. In the planned same-day report, accepted appointments later that day can be included in the daily visit figure. Use a completed past period with corrected statuses when reviewing attendance.

New clients means new to the business, rather than new to a particular provider. That metric is therefore not planned for an individual employee's report. ## How to calculate an appointment no-show rate

For the planned FindSlot metric, use:

**No-show rate = missed appointments ÷ (visits + missed appointments) × 100.**

Consider an illustrative, fully elapsed period with 80 visits, 10 missed appointments and 10 canceled appointments. There are 100 bookings in total.

The no-show rate is 10 ÷ (80 + 10) × 100, or approximately **11.1%**. The cancellation rate is 10 ÷ 100 × 100, or **10%**.

The denominators answer different questions. Cancellations are included in the total booking count used for the cancellation rate. They are not included in the visits-plus-missed denominator used for this no-show rate.

These numbers explain the calculation. They are not customer results, industry benchmarks or a recommended target. If another reporting tool uses a different denominator, compare the definitions before comparing the percentages.

## Booked value versus revenue: keep them separate

Booked value describes the appointment prices attached to accepted and completed bookings. An upcoming accepted appointment can contribute value before the service happens. A completed appointment can retain its recorded price while payment is managed elsewhere.

That makes booked value useful for examining the services represented on the calendar. It does not establish payments collected, profit, refunds or unpaid balances. Use payment and accounting records for those questions.

For example, two accepted appointments priced at $40 represent $80 in booked value. That statement alone does not tell you whether either client has paid.

## Choose reporting dates and compare equal periods

The planned date controls include **This month**, **Last month**, **Last 30 days**, **This quarter**, **This year** and a custom range of up to 366 days. Reports use the business's time zone.

The built-in comparison is planned against the equally long period immediately before the selected one. It is not automatically a year-over-year comparison. Check both date ranges before calling a difference growth or decline.

A completed month is often easier to interpret than a partial month with future appointments. A custom range can help isolate a specific business period. The planned trend uses daily points for ranges up to 62 days and monthly points for longer ranges, retaining empty dates in the timeline.

Rate changes also need careful wording. A no-show rate moving from 12% to 9% falls by **3 percentage points**, rather than 3%. The planned rate comparisons use points to distinguish those meanings.

## Turn booking analytics into a focused review

Use a repeatable process:

1. **Choose a completed period.** Read its start and end dates in the business's time zone.
2. **Check appointment statuses.** Correct records left Accepted when the client canceled or did not attend.
3. **Review counts before percentages.** A small number of appointments can make a rate change sharply.
4. **Inspect one service or provider.** Check working hours, leave and service prices before interpreting different totals.
5. **Choose one operational action.** Review availability, clarify a service description or improve a confirmation message.

A higher booked-value total does not by itself show that one staff member performed better. Different services, prices, working hours and leave can explain the difference. These reports also do not establish staff utilization or profit.
