# Appointment Time Zones: Check the Booking and Calendar Display

FindSlot Team · Published Oct 24, 2026 · Updated Oct 20, 2026

When an appointment looks an hour early or late, compare the business's appointment details with the calendar's display time zone before moving the booking. Two screens can show different clock times for the same instant. A genuine scheduling error and a display difference need different fixes.

This matters for traveling staff, remote consultations and businesses communicating with clients in another region. Use a full date and named time zone when the local time alone may be ambiguous.

## Establish the intended appointment

Open the appointment in FindSlot and confirm the client, service, provider, date and start time. Check the time zone used by the business's booking process. Compare those details with what the client and provider actually agreed.

Do not start by changing a correct appointment simply to match a phone's display. First establish which screen represents which time zone and whether both refer to the same visit.

For a local in-person service, tell the client clearly which business location and local time apply. For a remote appointment, agree how the time is expressed before confirming it.

## Compare displays systematically

Use a small worksheet:

- **Booking:** full date, displayed time and business time zone.
- **Provider calendar:** displayed date, time and calendar time zone.
- **Client message:** exact date, time and any zone wording.
- **Intended visit:** the arrangement the parties agreed.
- **Decision:** display correction, booking correction or clarification needed.

If a seasonal clock change is involved, check the conversion for the appointment's date. Do not assume today's difference between two regions will apply to a later visit.

An illustrative remote appointment may be correctly recorded for the business but displayed differently on a traveling provider's phone. That requires explaining the display, not automatically rescheduling the client.

## Keep calendar direction clear

FindSlot's current [Google and Outlook connection](https://findslot.ai/features/calendar-connections) sends appointments to the assigned staff member's connected account. Changes made in the external calendar do not become edits to the FindSlot appointment.

If the actual visit must move, make the permitted change in FindSlot and inspect the resulting appointment. Then check the external event after processing. A screenshot of a changed external event is not proof that the client's booking changed.

Check the provider and connected account as well. Looking at a colleague's calendar can make a correct appointment appear missing or inconsistent.

## Communicate one current arrangement

Suggested manual wording:

> Your \[service\] appointment is \[day, full date\] at \[time\] in \[business time zone/location\]. This is the appointment time we have recorded. Please contact \[route\] if your calendar shows something different.

Use this only after verifying the saved details. If the booking itself was wrong, explain the agreed correction rather than describing the issue as a harmless display difference.

After an actual move, follow the [rescheduling verification guide](https://findslot.ai/appointment-reminder-after-rescheduling). Check any earlier message that still shows an obsolete time.

## Questions worth resolving

**Should we use a time-zone abbreviation alone?** Use wording that identifies the intended region and date clearly; abbreviations can be unclear to clients.

**Does a personal event block the public slot?** External busy time is not imported by the current connection. Manage availability in [FindSlot staff scheduling](https://findslot.ai/features/staff-scheduling).

Start with one disputed appointment and compare its details across the relevant screens before making a change.
