# Barbershop Waitlist: Refill Cancellations Without Double Booking

A barbershop waitlist helps fill a canceled appointment when someone else wants the same barber, service, or time. It does not need to be complex. What matters is knowing who asked, matching the exact available slot, and recording one acceptance before promising it to anyone else.

## Separate a wish list from a confirmed appointment

When a client asks for an earlier time, keep their existing booking unless they explicitly cancel it. Record the preferred barber, service, date range, phone or contact route, and whether a short-notice offer would be useful. Tell them they remain on the waitlist until a new appointment is accepted and confirmed.

For example: "We have your request for an earlier haircut with Alex. Your Friday appointment remains booked. If a matching time opens, we will contact you; the new time is yours only after you confirm it." This avoids a client showing up for a slot you only discussed.

## Match the whole slot, not just the start time

A 30-minute opening cannot fit a service that takes an hour. Check the service duration, barber assignment, chair availability, cleanup period, and whether the next booking starts on time. ## Record the change before sending confirmation

Once the client accepts, reserve the new time and check whether to move or cancel their old appointment. Then send a clear confirmation with the new details. If the client cannot take the offer, move to the next matching request and leave their current booking alone. Remove expired requests from your list so staff are not repeatedly contacting people who are no longer interested.

## Measure the useful outcome
