# Appointment Not Showing in Google Calendar? A Checklist

If an appointment is not showing in Google Calendar, check the booking in FindSlot before changing anything. Confirm the appointment's status, assigned staff member and time, then check that person's connected Google account. A missing external event does not mean the client's booking has disappeared, and creating another appointment can produce an unwanted duplicate.

FindSlot sends appointment events outward to a staff member's personal calendar. It does not take external changes back into the booking record. This checklist follows that direction so you can identify which part needs attention without disturbing a correct appointment.

## Step 1: Find the exact appointment

Open the appointment in FindSlot and verify the client, service, date, start time and provider. Start from the actual record rather than an old message or a screenshot that may predate a change.

Check its current status. An upcoming Pending or Accepted booking is relevant to the connected appointment display. Pending appointments appear tentative; Accepted appointments are reflected as confirmed. Canceled or declined bookings have their events removed through sync. A missing event for a canceled booking can therefore be expected behavior.

Do not recreate a canceled appointment just because you found an older confirmation. First establish whether the client and business still intend to keep the booking. ## Step 2: Check who the booking is assigned to now

Calendar connections are personal to each staff member. An appointment assigned to Alex should be checked against Alex's connection, not the owner's personal calendar simply because the owner created the booking.

If the provider changed, the old external calendar may no longer be the right place to look. Read the current assignment in FindSlot. The [Activity Log](https://findslot.ai/appointment-activity-log) can help explain a supported recent reassignment or reschedule when a handover is unclear.

For a multi-barber or salon team, distinguish the staff member who handled the front-desk conversation from the provider assigned to perform the service. The appointment follows the latter's personal connection. A shared team-calendar view and a personal Google connection are separate capabilities.

## Step 3: Verify the external account and displayed calendar

Confirm which Google account is connected in the provider's FindSlot profile. Then make sure the person checking Google Calendar is viewing that account and its primary calendar.

It is easy for someone to remember a work address while viewing a personal account, or to look at a secondary calendar because it is normally used for another task. The current connection uses the connected account's primary calendar; it does not provide arbitrary secondary, shared or resource-calendar selection.

Check the relevant date as well. If the appointment was moved from Thursday to Friday, the correct event should be sought on Friday. Compare the actual appointment date and time in FindSlot with the calendar's display rather than looking only at the day where an old message placed it.

## Step 4: Review connection status

Open the connection controls in that staff member's FindSlot profile. If the account needs access renewed, reconnect the intended Google account. If the connection is active, use **Sync now**, allow processing to finish and check the relevant event again.

Do not repeatedly disconnect and reconnect without checking what each action means. Disconnecting stops the connection and initiates removal of upcoming synced events. It does not cancel the actual FindSlot appointments.

Use it if the provider has never connected their account or is unsure which connection was used. There is no instant-update guarantee, so one quick refresh is not a reliable test of whether processing completed.

## Step 5: Compare times without changing a correct booking

An external calendar can show events in the viewer's selected time zone. A staff member traveling may see a different clock time from the business's local appointment time.

Before moving a booking, compare the time zone and offset as well as the displayed hour. If two displays refer to the same instant, changing the appointment to make the clock faces match would introduce an actual scheduling error.

A useful check records the FindSlot local date and time, the external display date and time, and the display time zone. Ask the team to confirm the intended service time from the booking record. ## Use the result to choose the next action

This decision table keeps a display issue separate from a booking issue.

**Booking is canceled or declined**

- **Appropriate next action:** Confirm that outcome in FindSlot and the client conversation
- **What to avoid:** Recreating it solely to restore an event

**Booking belongs to another provider**

- **Appropriate next action:** Check the assigned provider's connection
- **What to avoid:** Changing a correct provider to match the calendar you opened

**Wrong Google account or secondary calendar**

- **Appropriate next action:** View the connected account's primary calendar
- **What to avoid:** Connecting another account before identifying the intended one

**Access needs renewal**

- **Appropriate next action:** Reconnect the correct account and allow processing
- **What to avoid:** Creating another appointment as a connection repair

**Connection active, event still absent**

- **Appropriate next action:** Use Sync now, then recheck the exact record and display
- **What to avoid:** Assuming immediate processing or repeatedly changing the appointment

**Display time zone differs**

- **Appropriate next action:** Compare the actual time and offset
- **What to avoid:** Moving a correct booking to match a clock display

## An illustrative front-desk example

A receptionist sees an Accepted Friday booking for Jordan in FindSlot. The owner cannot find it in their Google Calendar and considers adding it again. The checklist reveals that Jordan has a personal connection, while the owner is looking at a different account. Jordan checks the primary calendar of the connected account and finds the event.

No booking change is required. The issue was the viewing location. Had the team created a second appointment, they would have added another source record to solve a problem that existed only in the calendar view.

The same record-first approach works when the cause is a moved date, reassigned provider or connection requiring renewal. Identify the difference, make only the needed correction and check again.

## Common questions

### Can I fix the appointment by adding a Google event manually?

A manual external event does not create or update the FindSlot booking. Manage the real appointment in FindSlot and use the connection to reflect it outward.

### Why did a deleted Google event come back?

Deleting the external event does not cancel the booking. A later sync may recreate an event for an appointment still recorded in FindSlot.

### Does a personal busy event block a new client booking?

No. The connection does not import Google busy time. Update [FindSlot staff availability](https://findslot.ai/features/staff-scheduling) when a personal commitment makes the provider unavailable.

### Is this checklist useful for Outlook too?
