# Minimum Booking Notice: Lead Time Guide and FindSlot Preview

Minimum booking notice is the shortest time allowed between a client booking online and the appointment starting. It is also called appointment booking lead time or advance notice. A two-hour rule means someone booking at 9:00 a.m. cannot choose a start before 11:00 a.m., even if the calendar has an empty slot.

## Why service businesses need a booking lead time

An empty slot tells you that time is available. It does not tell you whether a provider can be ready for a new appointment.

A tutor may need to review the requested subject. A mobile provider may need preparation and travel time. A salon may need to prepare materials before a longer service. Minimum scheduling notice can reserve that preparation period when clients book online.

Too much notice can also hide useful same-day appointments. Choose a rule based on the work your team actually needs to do, rather than assuming a longer restriction is always better. The goal is a booking promise the business can reliably keep.

## Minimum notice, buffers and booking windows explained

These rules solve different timing problems:

- **Minimum booking notice:** How soon can a new online appointment begin, measured from the current time?
- **Booking horizon:** How far into the future can clients choose an appointment?
- **Appointment buffer:** How much time is kept around a service for work such as preparation or cleanup?
- **Rescheduling window:** How close to an existing appointment can a client move it online?
- **Cancellation window:** How close to an existing appointment can a client cancel it online?

A two-hour notice rule does not create two hours between appointments. It restricts the earliest new start relative to now. A booking horizon works at the other end of the calendar by limiting the latest future date offered.

## How to choose a minimum booking notice period

Map what happens between a new booking arriving and the client being served. Ask how soon staff notice the booking, whether the provider is already at the location and what preparation the service needs.

A barber already in the shop may be able to accept shorter notice than a provider who must travel. A tutoring business may need time to review a lesson request. These are examples to assess against your own workflow, not recommended default durations.

Start with a rule your team can honor for ordinary appointments. Review requests for earlier times and occasions when staff felt rushed. A notice period that repeatedly excludes appointments you could comfortably accept may need shortening. Repeated preparation problems may justify more lead time.

Also decide how the business will handle an exception. A phone conversation with an available provider can establish whether an earlier appointment is practical. Do not promise an exception before checking the actual service and staff availability.

## Preview: the planned minimum notice setting in FindSlot

The reviewed design places the control under **Company Information → Booking policy**, labeled **Clients must book at least (hours ahead)**.

The planned setting accepts whole hours, from 0 to **672 hours**, or four weeks. Zero is the default and adds no minimum-notice restriction. It does not turn online booking off.

The reviewed release makes the rule company-wide and available across plans. It does not provide a different notice period for every service. Service duration, staff working hours and the future booking horizon continue to determine whether a time can be offered.

The planned public booking experience shows a notice explanation during time selection when a nonzero notice is configured. Check current availability of this control in your workspace before attempting to apply the steps.

## How booking lead time affects available slots

The planned FindSlot behavior excludes online starts inside the notice period. The earliest remaining time still has to fit the booking grid, staff availability and service duration.

For example, at 9:10 a.m. with two hours of notice, the earliest permitted start is 11:10 a.m. On a 15-minute grid, the first possible displayed start is **11:15 a.m.**, provided the service and provider are otherwise available.

A break, another appointment or a day off may push the first usable time later. Minimum notice defines a boundary; it does not guarantee a free appointment exactly at that boundary.

If staff use [Google Calendar or Outlook appointment sync](https://findslot.ai/google-calendar-outlook-appointment-sync), remember that the outgoing connection does not import personal busy time into FindSlot's availability.

## What happens if a client leaves the booking page open?

Time passes while a client chooses a service or completes a form. A start that met the notice rule when first displayed may become too soon before submission.

The reviewed implementation checks minimum notice both when showing available times and when the client submits the booking. If the selected time is inside the notice period at submission, the planned response asks the client to choose a later time and refreshes the choices.

That second check matters: an old view of availability should not let a new booking bypass the preparation time the business requires.

## How minimum notice would affect client rescheduling

The planned client rescheduling workflow has two separate checks. First, the current appointment must still be eligible for online changes under its status and rescheduling deadline. Second, the replacement time must meet the notice requirement and normal availability rules.

For example, a client might be allowed to change tomorrow's appointment but unable to move it to a start 30 minutes away when the business requires two hours' notice.

The reviewed design exempts staff-created appointments and staff rescheduling from this particular notice rule. Staff would still need to honor other applicable appointment and availability rules. Changing minimum notice would not itself cancel existing appointments.

## Explain the policy in client-friendly language

Keep the rule specific. An illustrative policy could say:

"Please book online at least two hours before your appointment. For an earlier time, contact us so we can check availability."

Only use a number your team has chosen and a contact route your business supports. State the cancellation and rescheduling deadlines separately so clients do not assume every rule uses the same duration.

### Can the planned setting vary by service?

The reviewed FindSlot setting is company-wide. It does not include separate per-service notice rules.

### Would zero disable the booking page?

No. In the planned setting, zero adds no minimum notice. Other availability rules still apply.
