# Salon Cancellation Policy: Templates and Examples

> A salon cancellation policy has a harder job than most. Chair time is the product, appointments are long, and the client is usually someone you want to see again in 6 weeks.

Which is why the wording matters more here than the fee does. The same rule can read as reasonable or as hostile depending on how it is phrased, and the difference decides whether a client accepts it or quietly books somewhere else next time.

Below are three versions of the same policy at different levels of firmness. Pick the one that matches how your salon actually operates, not the one that sounds most authoritative.

Choose the least strict wording that still protects the time your business reserves. A short haircut, a long color service, and a multi-person bridal booking may justify different notice periods or fee rules. Apply the policy consistently and confirm that any fee practice follows the laws and payment terms that apply to your business.

## Gentle

Suits a newer salon, a quiet period, or a clientele you are still building trust with.

> Plans change, and we understand that. If you need to move your appointment, please let us know at least **24 hours ahead** so we can offer the time to someone else.
> 
> Repeated last-minute cancellations may mean we can only offer you our quieter times.
> 
> To change your appointment, use \[your rescheduling method\] or contact \[your contact method\] before \[your notice period\].

No fee at all. The consequence is a narrower choice of times later, which costs the client nothing today and still changes the behaviour you care about.

## Standard

The version most established salons land on.

> **Cancellations**
> 
> Please give us **24 hours' notice** to cancel or reschedule.
> 
> Less than 24 hours' notice: **50% of the service price**.
> 
> Missed appointment without notice: **100% of the service price**.
> 
> Colour and other long appointments need **48 hours' notice**, as they are harder to fill at short notice.
> 
> To change your appointment, use \[your rescheduling method\] or contact \[your contact method\] before \[your notice period\].
> 
> Booking with us means accepting this policy.

The separate rule for long appointments is the part worth keeping. A 3-hour colour slot lost on the morning of is a materially different problem from a missed trim, and clients generally accept the distinction once it is explained.

## Firm

For salons running near capacity, where a lost slot means turning someone away.

> **Cancellation and no-show policy**
> 
> We ask for **48 hours' notice** to cancel or move any appointment.
> 
> Under 48 hours: **50% of the service price**.
> 
> Under 24 hours or no attendance: **100% of the service price**.
> 
> Colour services, chemical treatments, and any appointment over 2 hours require confirmation by phone the day before.
> 
> After two missed appointments we may not be able to offer further bookings.
> 
> To change your appointment, use \[your rescheduling method\] or contact \[your contact method\] before \[your notice period\].

This only works when demand genuinely exceeds supply. Applied in a salon with gaps in the book, it costs bookings that would otherwise have happened.

## What actually decides whether it works

### Where the client sees it

A policy on a wall behind reception is seen by people already in the chair. The client who no-shows is the one who never got there. It needs to appear at booking, in the confirmation, and in the reminder - which for most salons means it has to live in the [booking page](https://findslot.ai/features/booking-page) rather than in the salon.

### Whether stylists apply it the same way

Nothing damages a policy faster than one stylist waiving fees another charges. Clients compare. If the team is not aligned, the rule is effectively "it depends who you booked with", which is worse than having no rule.

### Whether the wording sounds like a person

Compare "Failure to provide adequate notice will result in the imposition of a cancellation fee" with "If you cancel on the day, we charge half the price of the service." Same rule. The second is more likely to be read, and much more likely to be understood.

### Whether it names a number

"Short notice" and "a fee may apply" cannot be enforced without an argument. Hours and percentages can.

## What to do when it happens anyway

A clear policy sets expectations and gives staff a consistent response. It does not guarantee attendance, so combine it with accurate booking details, reminders, and an easy way to reschedule. When a no-show happens anyway, the useful question is whether this client is likely to do it again - a first occurrence usually is not worth a fee and a conversation. ### How much notice should a salon ask for?

24 hours is the common default, with 48 hours for colour and other long services. The right number is the one that gives you a realistic chance of refilling the slot.

### What if a regular client no-shows?

Most salons let the first one go and say so explicitly: "no charge this time, but the policy applies from now on." That keeps the relationship and still resets the expectation.

### Do I need clients to sign it?

A signature is rarely necessary. What matters is a record that the client saw the terms before booking, which a checkbox at booking provides.
