# Spa Late Arrival Policy: Protect Treatment Time and Guest Expectations

A spa late arrival policy should protect the next guest's appointment while treating the late guest fairly. The first step is to distinguish arrival time from treatment start. If a client needs to check in, change clothes, or complete a non-clinical intake step, tell them that before the day of the visit.

## Define the two times clearly

If a treatment begins at 3:00 p.m. but the guest should arrive at 2:45 p.m., show both times in the booking details. Calling 2:45 the appointment time in one message and 3:00 the appointment time in another creates confusion. Name one "arrival" and the other "treatment start," with the location and any preparation instructions nearby.

For a multi-service visit, describe whether there are separate start times. A couples appointment may involve two practitioners or rooms, so a delay can affect more than one calendar. The [spa scheduling guide](https://findslot.ai/spa-appointment-scheduling-guide) explains how to account for service and turnaround time before publishing availability.

## Choose an operational rule your team can follow

Decide what happens at different levels of lateness. Can a 10-minute delay shorten the service without compromising the experience? Can a longer delay move the visit to another time? Some treatments cannot be compressed safely or meaningfully. Make the decision based on the service and the next booking, rather than making an unconditional promise to provide the full treatment after any arrival time.

Do not publish a universal grace period because another spa uses it. Check how much setup and room turnover your own services require. Train the front desk on who can approve a shortened session, whether the price changes, and how to record the result. Confirm any fee or refund wording against your published terms and applicable local requirements.

## Put the policy where clients will see it

Keep a short statement near booking and include the relevant arrival time in the confirmation and [appointment reminder](https://findslot.ai/features/appointment-reminders). An example you can adapt:

> Please arrive at \[arrival time\] for your \[treatment start time\] service. If you are running late, contact us at \[monitored contact\]. We will try to accommodate you, but your treatment may need to be shortened or moved to protect the next appointment. Any price or cancellation terms are shown at booking: \[policy link\].

Replace every bracket before publishing. Make sure a client can reach a real monitored channel. A reply to an unattended automated sender does not help the front desk prepare.

## Handle the actual late guest consistently

When a guest calls, check practitioner and room availability before offering options. Tell them whether they can still receive the full service, a shorter version, or a new appointment. Confirm any change in writing so the guest and practitioner share the same plan. If you cannot provide a safe or useful shortened visit, say so directly.

Review late-arrival cases each month. If most late guests report confusing arrival instructions, improve the messages before tightening the policy. If traffic or parking routinely affects the same location, add practical directions. A good policy supports a reliable day; it should not serve as a surprise penalty.

**Next step:** Test one booking from the client's phone and read every time shown on the page, confirmation, and reminder. Make arrival and treatment start unambiguous in all three places.
