Most reminder messages fail in the same way: they tell the client what they already know and give them nothing to do about it.

A reminder has one job beyond stating the time, and that is to make acting on it easy. The client who cannot attend should be able to move the appointment without a phone call. Everything below is written around that.

Copy any of these and change the wording to sound like you. The structure matters more than the phrasing.

Short reminder

For text messages and the final hour, where brevity wins.

Hi {name} — reminder of your {service} at {business} tomorrow, {time}. Need to move it? {link}

Name, what, when, and a way out. The link is not optional: without it "need to move it?" is a question the client cannot answer.

Standard reminder

For email a day ahead.

Hi {name},

Just a reminder that you are booked in for {service} with {staff} on {date} at {time}.

If you need to change or cancel, you can do that here: {link}

We ask for 24 hours' notice so we can offer the time to someone else.

See you then,
{business}

The policy line belongs here rather than in the confirmation, because this is the message people actually open. Stating it as a reason — "so we can offer the time to someone else" — reads very differently from stating it as a rule.

Early reminder

For the message a week out, where the client still has room to rearrange.

Hi {name},

You are booked in for {service} on {date} at {time}, about a week from now.

If that no longer works, now is the easiest time to move it: {link}

{business}

"Now is the easiest time to move it" is doing the work. It gives the client permission to reschedule at the moment rescheduling costs you least, which is the entire point of an early reminder.

Long or high-value appointment

Where a missed booking is expensive and preparation matters.

Hi {name},

Looking forward to seeing you on {date} at {time} for {service}. Please allow around {duration}.

Because this is a longer appointment, we ask for 48 hours' notice to change it: {link}

Naming the duration prevents the most common cause of a half-finished appointment: a client who did not realise how long it takes and has to leave.

First-time client

Hi {name},

Your first visit to {business} is on {date} at {time}, with {staff}.

We are at {address}. {parking or access note}

Need to change it? {link}

{business}

New clients no-show more than regulars, and often for practical reasons rather than second thoughts. Where to park and which door to use prevent more missed appointments than another nudge would.


What separates a reminder that works

One action, made obvious

Every message above has exactly one link. A reminder offering three choices is a decision, and a decision made on a phone between other tasks is usually deferred.

The service named, not just the time

"Your appointment at 2pm" and "your colour appointment at 2pm" are treated differently, because the second is clearly harder to rebook.

Rescheduling framed as normal

Clients who cannot attend and expect friction tend to say nothing. Wording that treats moving an appointment as routine surfaces the cancellation while you can still use the slot.

Sent by something that does not forget

How long should a reminder be?

Short enough to read on a lock screen. Anything the client does not need to act now belongs in the confirmation email instead.

Should reminders ask for a reply to confirm?

Only if someone reads the replies. An unanswered confirmation request is worse than none, because the client assumes it was received.

Should the cancellation policy appear in every reminder?

In the ones sent while there is still time to act on it. In the final message it is just a threat with no available response. Wording for the policy itself is in the no-show policy template.
