Pending Appointment Requests: A Daily Review Routine

FindSlot Team · Published Oct 22, 2026 · Updated Oct 20, 2026

A pending appointment request needs an owner and a next action. Review whether the business can deliver the requested service at that time, then accept, decline or discuss an alternative through the process your team uses. Do not describe a request as confirmed while it still awaits the business's decision.

A daily review routine prevents requests from disappearing between the front desk, manager and provider. The right review frequency depends on how soon clients can request appointments and when your team is available to respond.

Define who handles the queue

Choose the person responsible during each working period and a backup for breaks or absence. State when unresolved requests should be handed over. If the booking page stays accessible after hours, explain the response expectations your business can meet.

A practical handover needs four items: the request being reviewed, who owns it, what remains unclear and the next planned action. Avoid a note such as "someone will check this" without a named owner.

Use the request versus confirmed booking guide to keep the client-facing wording consistent.

Check the whole appointment

Before accepting, review the requested service, provider, start time, duration and operational requirements. Verify that the provider offers that service and has the necessary working time.

Consider an illustrative studio request for a consultation at 16:30. If the client expects the full treatment, simply accepting the time does not solve the misunderstanding. Clarify the scope before the client arrives.

Keep questions focused on what changes the booking decision. A preference that can be discussed during the visit does not always need to hold up acceptance.

Separate a decision from an alternative offer

If the requested arrangement cannot work, explain what you can offer. An alternative date mentioned in a message is not an accepted replacement until your business and the client complete the arrangement.

Use a short manual response:

We have received your request for [service] on [date]. We need to confirm [specific detail] before accepting it. Please reply through [contact route].

For an unavailable request:

We cannot accept the requested arrangement. We can discuss [alternative] if that works for you. Please contact [route] before treating the alternative as confirmed.

These are suggested messages for your team's communication, not a claim that FindSlot automatically sends them.

Verify the final state

After acting, open the appointment and check its recorded state and details. If a provider changes, review their service assignment and availability. If a time changes, ensure the actual booking reflects the agreed time rather than only the conversation.

A connected calendar may show a tentative event for a Pending appointment and a confirmed event for an Accepted appointment after processing. The calendar connection guide explains the outward direction. Use FindSlot to establish the booking's state.

Should pending requests be counted as completed visits? No. Read the actual appointment status and the client statistics definition.

What should the next shift receive? A specific unresolved question and assigned owner, plus the current appointment details.

Start by reviewing today's pending requests and assigning the next action for each. Explore the booking page to connect clear choices with a clear response process.
