Last-Minute Staff Absence: Reorganize Appointments Clearly

When a provider becomes unexpectedly unavailable, start by identifying their affected appointments and stopping additional bookings into the unavailable period. Then decide which visits can move to a suitable colleague, which need another date, and which require a client conversation before any change.

A replacement must be able to provide the booked service and have enough time for the whole visit. An empty space on another person's calendar is only one part of that decision.

Establish one recovery list

Choose a person to coordinate the response. Record the appointment time, service, assigned provider, contact owner and current decision for each affected booking. Keep the list in the team's normal working process; it is an operational worksheet, not an automated FindSlot absence feature.

Check the unavailable provider's working time and days off. Review existing appointments separately: changing availability should not be treated as evidence that those appointments were moved or canceled.

Prioritize visits starting soon and clients who may already be traveling. Avoid having two team members contact the same person with different replacement offers.

Check a replacement before offering it

For every possible transfer, confirm:

  • The colleague offers the booked service.
  • The proposed start and end fit their actual schedule.
  • Any preparation or cleanup can still happen.
  • The client understands the provider change.
  • Any unresolved price or service difference is explained.

FindSlot's staff service assignments help represent who offers each service. A manager still needs to check the specific appointment and any promises already made to its client.

For an illustrative shop, a 45-minute specialist beard appointment cannot simply move into a colleague's 30-minute opening. Offer a workable alternative rather than shortening the visit silently.

Record agreement and the resulting appointment

Keep a proposed alternative distinct from a completed change. "Can you attend tomorrow at 11:00?" asks a question. It does not establish an agreed booking.

Once the client and business have agreed, make the permitted change in FindSlot and check the service, provider, date, time and status. Use the appointment reassignment checklist for the detailed handover. Make sure the next person working at reception can tell which appointments are resolved.

Suggested manual message:

Your provider is unavailable for your upcoming appointment. We can offer [service] with [provider] at [date and time], subject to your agreement. Please contact [route] so we can confirm the arrangement.

Adapt this wording to what your business can actually offer.

Close the recovery process

Review the list again before the affected shift. Look for clients who have not replied, appointments still assigned to the absent provider and replacement times that were discussed but never saved. Check any connected external calendar after the source booking is correct.

Should every appointment be canceled immediately? Decide from the actual absence, available alternatives and client response. Keep the saved state consistent with the outcome.

Does an external calendar event block bookings? FindSlot's current Google and Outlook connections send appointments outward. Manage bookable availability in FindSlot.
