An appointment notification is a message triggered by a booking event. A reminder is only one type. A useful notification plan distinguishes a new confirmation, a changed time, a cancellation, and an upcoming visit so clients know which appointment details are current.
Map each event to a client action
- New booking: Confirm the appointment recorded. Include the service, date, time, and provider or location.
- Reschedule: Replace the earlier details. State the new date and time and make clear that the old time no longer applies.
- Cancellation: Confirm which appointment ended and how to book again if the client wants another visit.
- Upcoming visit: Help the client remember and prepare. Repeat the current details and provide a route to change plans.
These are different from marketing messages. Keep operational notices short and accurate; do not bury a changed time under promotion. A provider-facing alert may need different details from a client-facing message.
Prevent stale or conflicting messages
Test a booking, then move it before the reminder is due. The next reminder should use the current date and time. Test a cancellation too: an upcoming-visit reminder should not continue to describe a canceled booking. If your system has multiple channels, check what happens when email and SMS arrive at different times.

Write for the event, not the channel
Confirmation example: "Your haircut with Alex is booked for Tuesday, 6 October at 14:00 at Main Street. Use your appointment link if your plans change."
Time-change example: "Your haircut with Alex has moved to Wednesday, 7 October at 14:00. The Tuesday appointment is no longer active."
Cancellation example: "Your Wednesday haircut has been canceled. If you would like a new time, use our booking link."
Use real customer, service, time zone, and business details in production. These are writing examples, not a description of an exact configurable FindSlot template.
Decide who owns unusual cases
If a provider calls in sick or a complex appointment needs a new room, automation may not resolve the situation by itself. Assign a person to contact affected clients and update the booking record first. The notification should reflect the final decision, not a proposed one that looks confirmed.

Are a confirmation and a reminder interchangeable?
No. The confirmation tells a client what was booked now. A reminder refers back to the current appointment shortly before it happens. Both must agree after any change.
